Administrative Assistant ADM003170 
This Senior Administrative Assistant position will provide administrative support to the Co- Site Head and two senior members of the management team.  In this position the successful candidate will manage executive travel arrangements, coordinate site wide and multi-site meetings, plan visits and agendas for senior executives and scientists both internal and external to Merck. This position requires a high level of professionalism and experience as well as the ability to manage multiple high profile projects at the same time.  This position requires the ability to coordinate schedules and activities across multiple Merck sites and will work closely with senior management and administrative staff both within Merck and from external organizations.   

This person may both utilize the resources of the administrative support team and be called on occasionally to provide additional administrative support where needed by other members of the senior management team.

Primary Responsibilities Include:

  • Arrange travel for executive/s and visiting guests
  • Manage executive calendar/s
  • Coordinate internal and offsite meetings/teleconferences
  • Handle general correspondence and mailings
  • Prepare reports and presentations
  • Respond to external requests for information
  • Assist with review and publication of key internal documents & presentations
  • Prepare expense reports
  • Monitor email, voicemail and mail
  • Track and follow up items that need executive approval
  • Work with other administrative support personnel on special projects

Desired Qualifications (summary):

  • Completion of HS, vocational training or equivalent. Minimum of 8 years directly supporting senior-level executives
  • Experience in the biotechnology/pharmaceutical industry and/or education in the natural sciences preferred.
  • Strong working knowledge of Outlook, Windows, Word, Excel, and presentation software to include Powerpoint and working knowledge of Visio.
  • Outstanding verbal and written communication skills.
  • Excellent interpersonal skills and the ability to work effectively and diplomatically with a wide range of people inside and outside the company
  • Strong attention to detail; ability to prioritize and track multiple projects.  Demonstrated project management skills.
  • Ability to work effectively in a fast-paced environment with changing priorities.
  • Ability to be pro-active and work in a collaborative team environment with minimal supervision
  • Broad knowledge of corporate operations and policy and high level of discretion.
